Manage User Roles and Permissions

HyperComply allows you to easily manage the different roles and permissions that are assigned to your team members. By providing a new member with the appropriate role in HyperComply, you are completing an essential step towards ensuring all of the information in your Knowledge Base is being crafted and approved by the appropriate team member. 

 

Key points:

  • When you invite a new member to your workspace, you will be prompted to select their role in HyperComply
  • You can invite new members with your role or below
    • This means a User can only invite other Users, an Approver can invite Users or Approvers, and Admins can invite users of any role

Below is a list of the 3 distinct roles that can be assigned in your HyperComply workspace and a description of who may be best suited for each role: 

  1. Admin - Reserve for only those who require full access to your HyperComply workspace
  2. Approver - Manage all aspects of the questionnaires but not the general settings and integrations
  3. User - Limited access, general role that is designed for your team to collaborate by viewing questionnaires and answering questions

Note: Owner - A secondary set of permissions that grants additional access to the assigned questionnaire and Owner specific permissions.

 

Permissions Table:

The following table shows the specific permissions that each role can view and/or modify in your HyperComply workspace.

Note: All members, regardless of their role will be able to view questionnaires, access and search the Knowledge Base by default.

Admin

Questionnaire Usage:

  • View and Filter questionnaires
  • Create, edit, submit any questionnaire
  • Delete questionnaires
  • Approve/Reject submitted questionnaires
  • Answer questions and edit answered questions
  • Delete question and answer pairings

Questionnaire Management

  • Apply Knowledge Segments
  • Assign an Owner
  • Assign a Due Date
  • Apply a Knowledge Expiration date
  • Complete/Uncomplete questionnaires
  • Delete an In-progress, Completed, or Pending questionnaire

Knowledge Management:

  • Access and search the Knowledge Base
  • Approve answers
  • Add/Edit/Delete knowledge references
  • Add/Edit/Delete reference documents
  • Add/Edit/Manage invitees of Data Rooms
  • Create and edit Security Profiles
  • Configure Knowledge Segments

Settings:

  • Assign/Change any member’s role
  • Create/Edit/Delete integrations
  • Create/Edit/Delete SAML/SSO configurations
Approver

Questionnaire Usage:

Same as Admin but cannot:

  • Approve/Reject submitted questionnaires
  • Delete question and answer pairings

Questionnaire Management

Same as Admin

Knowledge Management:

Same as Admin but cannot:

  • Configure Knowledge Segments

Settings:

  • Assign/Change any member’s role to be an Approver or User

If the User is the Owner:

If not the User is not the Owner:

  • Apply Knowledge Segments

Tips and Best Practices:

Your workspace Admin can invite as many team members as are needed to complete security assessments, with no additional charge.

 

Additional information:

HyperComply has a limited ability to revert changes that are made to your workspace. Please ensure that only members that absolutely need full access are set as Admins.
